Responsibilities
In summary, this position is expected to work with the department director to manage the engagement initiatives of high-level constituents including Board of Trustees, Advisory Committees and President’s Council. Be responsible for the effective day-to-day implementation of the Museum’s President’s Council and Advisory Committees. Be responsible for building and maintaining relationships with Advisory Committee members and President’s Council members. Proactively identify engagement opportunities for constituents and the preparation of materials related to constituent engagement. Responsibilities and duties include, but are not limited to:
Project Management
- Manage the day-to-day administration of the President’s Council including overseeing the preparation and maintenance of rosters, communication of information, meeting materials and progress reports.
- Assist with tracking President’s Council and Advisory Committee members’ participation in Raiser’s Edge including briefings, event attendance, demographic information and miscellaneous biographical information.
- Manage the recruitment process for new advisory committee members including researching potential members, drafting of recruitment letters, roles and responsibilities and other pertinent committee information.
- Coordinate the strategic and logistic aspects of committee meetings including working with other departments and divisions on agenda content, meeting materials and talking points for key committee members and staff.
- Manage the necessary follow-up for Advisory Committee and President’s Council meetings including drafting and editing of meeting notes, drafting communications, arranging follow-up meetings with non-attendees, and preparation of necessary materials.
- Manage the necessary research, information collection and data compilation as required by the outcomes of advisory committee meetings.
- Manage cross-divisional projects as needed including drafting communications, facilitating meetings, event coordination and necessary follow-up.
- Provide support for projects related to strategic planning for the Museum.
- Assist with additional special projects including but not limited to Wonder Kids, an event and program partnership between the Chicago Children’s Museum and Allstate.
- Maintain open lines of communication with all development staff to disseminate information and to assist in the cultivation of constituents.
- Prepare reports for President’s Council and Board of Trustee meetings.
- Participate in division meetings, appropriate development events and other Museum activities as required.
Constituent Engagement
- Work with the President’s Council membership committee, Council Chair and Director, Strategic Initiatives to ensure that all members are actively engaged and participating.
- Assist with building and maintaining relationships with council and committee members in coordination with primary staff managers.
- Arrange and participate in meetings with council and committee members as needed for follow up and engagement in between meetings.
- Proactively identify and develop engagement opportunities.
- Manage the advisory council, the Museum’s continued engagement vehicle for past advisory committee members. Administration includes maintaining group roster and information in Raiser’s Edge, preparing materials related to events, overseeing preparation for events and meetings, and assist in preparation of communication pieces as needed.
- Manage the dissemination of timely information to all constituents.
- Plan, organize and attend internal and external planning meetings related to advisory committees and President’s Council.
- Prepare Board of Trustee orientation materials including the coordination of briefing memos and preparation of orientation packets.
Qualifications
- Bachelor's degree (B.A.) from four-year college or university; and/or 4-6 years' related experience and/or training; or equivalent combination of education and experience.
- Ability to read, analyze and interpret common scientific and technical journals, financial reports and legal documents.
- Ability to write professional pieces.
- Knowledge of Raiser’s Edge software.
- Excellent organizational and time management skills.
- Ability to communicate effectively and interact with multiple departments.
- Available to work occasional evenings and weekends for special events.
