Coordinator, Volunteer Administration

Responsibilities
This individual will develop and implement a comprehensive recruiting plan for volunteers at the Museum of Science and Industry. The individual will conduct the interviewing, orientation and placement of volunteers. This person reports to the Manager, Volunteer Services and will be a member of a team of volunteer administrators, who work with volunteers and museum staff. Responsibilities include the following:
- Work with volunteer managers to identify volunteer opportunities within the Museum
- Identify additional resources for recruiting volunteers, implement specific strategies for recruiting volunteers for current and upcoming Museum exhibits and programs, and develop and maintain a database of these resources
- Travel to appropriate sites to deliver recruitment presentations to groups
- Contact all new applicants, and review applications
- Conduct new volunteer interviews, order and review background checks, and supervise new volunteer placement and transfers
- Conduct new volunteer orientations
- Maintain and update volunteer records in database
- Prepare monthly and year-end statistical reports of volunteer recruitment and hours
- Provide administrative assistance to managers and volunteers
- Communicate with volunteers through daily in-office greeting, e-mails, office signage, phone calls and Caryatid newsletter
- Assist in training volunteers in the Museum’s mission, ideology, vision and strategic priorities and our important guest-focused culture
Qualifications
- Bachelor’s degree and two to three years of recruiting experience and/or volunteer administration
- Excellent writing, communication, and presentation skills
- Strong organizational skills
- Proficient in Microsoft Office software, i.e., Excel, Power Point, Access, Outlook and Internet Explorer
- Ability to work independently
- High energy and strong interpersonal skills
- Must have transportation for travel throughout Chicago area
- Experience working with volunteer programs or working as a volunteer preferred
- Available for a rotating schedule based on five-day week including weekends
